Operations Manager: David - thanks to everyone for dealing with various house crises, shoutout to Vic for helping with someone leaving the property, also the smoke smell/fire department issue, working on bookeeper transition, needs to deposit some checks, house contractor fell through so working on getting new contractor to get room 13 filled, GMM minutes had some good conversations about the struggles Sasona is going thru which is good to talk about so people don't get overwhelmed with emergencies, provides opportunity to look at house policies and update them

(Star and Vic) put Ruth's moths on guff fridge

Star - Ruth made really cool paper cutout moths with work machine - what if they got put on the new fridge light that's really bright? Ruth wanted to bring it to the house to make sure house is ok with it, Star brought it to house for Ruth

Vic - perhaps putting the moths on the fridge will help prevent other kitchen moth visitors. Also ruth is the best.

Caleb - is for the idea, does this need to be a motion or just discussion?

David Q - if no one has anything else to discuss/add, we will leave this as a house discussion :)

Star - this was Kaycie's idea, but thought about naming the corner with the Papasan chair Ruth's corner. Would like to put this as a motion.

Caleb - question, could this create any unforseen legal consequences in terms of claiming exclusive rights/ownership of Ruth's corner?

Kaycie - we will deal with that when it comes, we should just do it

Serentiy - this sounds like a living memorial so doesn't necessarily imply ownership :)

Motion: Name the corner where the Papasan chair is located as Ruth's Corner

David Q - suggests that we have something official to signify Ruth's Corner at a later date

Motion Passes: 8-1-1

(Star) codify requirement for money order for initial contract signing payment. contract signing policies - under signing first contract - “pyment for initial contract signing must be a money order” - discuss zelle/checks and future rent payments

Star - when Timel was applying for membership and asked to pay with wise or paypal, Star looked to see what was official payment policy in the wiki, wanted to get it codified that money order is required for initial contract signing

Cory - all information about accepted payment forms needs to be in the lease document for legal purposes - basically need to add on a vote for ammending lease to specify accepted payment forms as well as the wiki items

Star - pulled out a contract for reference, Star would add to motion that it would specifically be in paragraph 5 in the contract. It will say in that section for initial payment must be a money order.

Motion: “Payment for first month's rent and deposit must be a money order” - this clause will be added to paragraph 5 (titled RENT) of the CHEA Contract for Living Accomodations. It will also be added to the Sasona Wiki on the Contract Singing Policies page under the 'singing first contract' section.

(Kaycie) propose to reschedule culture meeting for a Sunday in September

(Star, Vic) sexy car wash to get David M (bikini car wash fundraiser, topless optional for more money)

(Jessi) Seb's accommodations plan

Jessi - seeking acommodations for Seb's labor. Typically labor czar can make minor changes/modifications, will be asking for actual reduction in lumps which Jessi hasn't been seen before, so it will be brought to a house vote based on getting house and Seb's needs balanced

Seb - explained disability needs and issues

Ruth - acommodations boils down to what can individual do and fit that into house labor system

Jessi - absentee policy no longer used, La Rea policies have lump reduction policy that to be brought to house vote as allowable alternative, and house can discuss if it is a reasonable accomodation

Rowan - question about why absentee policy can't be used, reduction of lumps would put more holes in labor schedule and people are at max of 6 lumps already, suggests labor lumps trade/donation

David M - offering idea that house can be flexible on quicker move out to help

Olivia - would support waiving 30 days to help with move out, has anyone put forward number of lumps for accomodation

Seb - I am currently doing 2 lumps for minutes taker, could do archivist as another lump, so total lumps can be 3, concerned about officer turnover

Motion: Seb's labor will be three lumps total - 2 lumps for minutes taker and 1 lump for archivist.

Rowan - propose to extend discussion by five minutes

Rowan - will have more empty labor spots due to accomodation - could we assign Seb labor that house takes over.

Kaycie - able to pick up extra lumps

Carina - can also pick up extra

Ruth - in favor of people doing lumps voluntarily, but those lumps shouldn't be Seb's responsibility should be house responsibility, hopes it would get done in

Rowan - makes sense, should specify if no one picks up labor Seb wouldn't get penalities

Modified Motion: Seb's labor will be three lumps total - 2 lumps for minutes taker and 1 lump for archivist. Seb's remaining three lumps will be taken care of by house volunteers.

Rowan - direct response, takes back what they said

Mathias - can we just say reduce Seb's lumps to three because other things have an excessive amount of into what Cory said about Seb moving out early to allow for more lumps to come in earlier can keep in mind

Seb - for house information will talk with Star about early move out

(Rowan) Scheduling CJs membership review

Rowan - taking accountability that they missed CJ's nonperformance of labor triggered a membership review, with five charges in the month of June and two charges in the month of May. Did not text CJ until today and not sure when he's available to talk. Three weeks late on membership review, doesn't really want to have a membership review right now and wants to her from CJ about scheduling.

Olivia - regardless of the amount of tijme that passed, membership review is much more helpful when member in question is available to talk with.

Star - clarifying that labor non performace was from June. We should approach this differently than usual member reviews because he has been working really hard to keep up with labor with everything that has been going on, wants to know how he has been doing since May/June and that would be taken into account. Would personally feel hurt/scared

Ruth - agrees with Star, doesn't want to portray that this is a current problem if it is not a current problem.

David Q - based on personal contact with CJ, he has been here and attentive with coming to house to get labor done and check in on what to do with house. He knows he has a lot of labor to make up for and that it's important for the house.

Jessi - shoutout to Rowan for doing a good job as labor czar. Would want to see if there are any recent write ups for CJ and see if maybe there can be a time scheduled and talk to CJ to see if there is something that can get nailed down for the next two weeks. Also remind CJ that if he is not able to be physically present for the meeting he can write a statement, and house is aware and understanding of his situation and has noticied that there is an uptick in the labor he has done despite the tough situations.

Rowan - agree that it doesn't seem necessary or urgent for member review, just following policy, would be easier for all parties if instead of meber review sometime in the next six weeks have a CJ labor check-in on the agenda and a conversation about labor that doesn't need to get scheduled

Gardenia - something that La Rea does is that to help honor policy, member review policy has a no action option built in so that member review can be more of a discussion/update. If less formal/structure works for Sasona, but if policy has requirement that some sort of house level conversation needs to happen, no action option is helpful to have a house convo with no consequences

Star - membership review process is already non-punitive, when a mem review is called it is just a conversation

Olivia - thank you gardenia for la rea persepctive, feels that if policy calls for it ought to follow the policy, doesn't want someone to feel like unfair. In favor of setting a placeholder date with seven full days notice would land on monday the 1st would be a good time, however that is US labor day holiday and could impact house turnout. So Tuesday the 2nd would be a good date.

Rowan (clarifying question) - is this the date to vote on mem review?

Olivia - proposes we set Tuesday Sept 2nd as the tenative membership review placeholder date.

Rowan - so we're scheduling with the vision that we are rescheduling? clarifying information that CJ no shows total 7 - one was for three nudges, one was for missing a business meeting

(Olivia) Payment plan for Olivia in September

When olivia logged into bank make previous payments got a notification that an upgraded bill experience is on the way for Fri Aug 29 - Mon Sept 7, basically bill payments for her account will be turned off end of Aug to beginning of Sept

Tried to prepay as much as she could, will owe community $500 by Sept 1st

Check that comes end of month (29th) on Friday can conver the $500, sometimes comes early on Weds

Motion: Olivia will pay her remaining balance of $500 for September rent no later than Tuesday, September 9th

(David Q) Laundry room disaster (discussing laundry room etiquette)

Ruth - wanted to show the house the moths that will be over fridge light (passed them around the room!)

Rowan - assuming part of laundry room discussion, but wanted to announce now, there's a lot of bags of laundry in the laundry room so go get them asap. Also a little bit short on laundry bags and don't have any brand new laundry room bags, so be mindful of putting laundry bags back and not leaving them in rooms

David M - wanted to see if anyone had questions for Paul who represents Sasona and CHEA as NP (national rep)

David Q - can Paul pass out contact info?

Paul - happy to give out phone #

Kaycie - why do you want to take on NP role?

Paul - held a lot of officer positions at La Rea, lived at Sasona a decade ago, and thinks representation of Sasona and La Rea at the ntl level is importanat

Rowan - Aug 30th there is a trans takeover of Barton Springs from 2pm to dusk

David Q - at Barton Springs?

Rowan - yes on the free side, will make a post to Sasona about it
