-test+Steward Role Summary Follow Steward Processes The Steward is responsible for ensuring that house policies are upheld and understood by all members. This role requires strong communication, problem-solving, and leadership skills. The Steward must be a resident member of the house and cannot hold any other officer positions (besides NP Board Rep). They serve as a key point of information, oversee membership reviews and evictions, and assist in officer transitions when necessary. The Steward ensures compliance with membership policies, labor policies, and financial accountability. They also mediate disputes, encourage house cooperation, and report weekly at business meetings (or by email). Their ability to oversee and step into all officer roles provides the organization with a safety net of continuity—so that Sasona can continue to serve its members. Steward Processes 1. House Policy & Information Management Read and become familiar with key documents: (for example but not limited to: The Contract, House Rules, House Bylaws, CHEA Articles of Incorporation, house budget, and labor descriptions.) Educate members on house policies and ensure important documents are easily accessible. Stay in communication with the CHEA Board, other CHEA properties, and Operations Manager as needed. 2. Membership & Evictions Oversee and enforce eviction procedures in accordance with Section 4.3 of the House Rules. Conduct Membership Reviews, ensuring compliance with Section 4.7 of the House Rules. Notify the CHEA Board if membership is revoked for reasons other than non-performance of labor or non-payment of rent. Inform members of their right to appeal eviction decisions to the CHEA Board. Deliver eviction notices by the 10th of the month if a member owes more than $100 and is not on a payment plan. Issue immediate eviction notices for failure to meet a payment plan agreement. 3. Pet Policy Enforcement Communicate and enforce the house Pet Policy. Track compliance and ensure the house pet limit is not exceeded. (Emotional Support Animals and Service Animals are not included in our Catpacity.) 4. Officer Oversight & Support Fill in for vacant officer positions as needed. If an officer position is unfilled for a week, assume their labor duties. If the Steward fulfills an officer position, they should get lumps for that position (either that week or the following week). Assist all officers in their regular duties as needed to help prevent burnout. Collaborate with the Labor Coordinator for additional labor compensation if needed. (Ex: adjustment to schedule and lumps) No-show officers if duties and responsibilities are not fulfilled. Because the Steward can step into any officer position and is used for oversight for any officership, the member who is the Steward cannot be elected into any other officer position (other than NP Board Rep). Monitor the Officer Feedback Survey and discuss/share the results as needed. 4.A Membership Coordination Oversight Ensure the Membership Coordinator posts weekly on social media, regardless of vacancies. Monitor Membership Coordinator email activity. Ensure accepted prospective members are added to the appropriate email list. 4.B Labor Coordinator Oversight Oversee labor fines and make-up labor tracking to ensure The Machine is being used properly. Ensure public documentation of labor no-shows, make-up hours, and fines. Carry out elections if the Labor Coordinator is unavailable. 4.C Financial Officer Oversight Ensure the Treasurer sets up payment plans for members as needed. Deliver eviction notices when necessary. Ensure timely tax filings and be familiar with tax procedures. 4.D IT Officer Oversight Stay informed about system recovery and passwords as directed by Mastodon Overblower. 5. Conflict Resolution & Mediation Address issues that do not fall under any other officer’s responsibilities. Mediate disputes and assist in conflict resolution. 6. Community & Governance Participation Encourage democratic participation and cooperation within the house. Serve as a point of information for the structure of NP and CHEA. Be willing and able to interface between the police or other government official(s) in case of an incident, including the death of a member at the residence.
