I forgot to make the bulk list this week. I will do it next week. Ella mentioned to me that we should do a cleanout and inventory of our bulk bins/ tvp/ and cornmeal. We got more. There are a lot of containers that may have not been washed since I have gotten here. I will check with justin and once the boxes are ready we will purchase. **Grounds Coordinator:** \\
Mae and I are co-grounds. There is not a lot of work in the winter. Ella has been planting wildflowers, onions and has a rough history of whats where. there are a few things up there that could use water. in summertime, its minimum of 3 and a half a week. in the winter, its 2-3 times a week. ella walked me through where there are winter crops - anybody who has grounds hours lets do a mind sink on that. There is not a heavy need for grounds in the winter. David M: i would like someone to rebuild brick ring around grease trap. this is an old grease trap. this could replace grounds work. Karina: which one David: the limestone is back in that patio area that accents and fits in with the house. Karina: whatever you see fit. for the summer, watering is needed. thank you ella for the knowledge that she has. Owen: you have a lot of experience, in winter time what do you think needs to be done Karina: i know last year mae cordinated a company to come to trim.The fence needs to be redone and the barricade near vic and baileys room should be redone. I emailed the auto-chlor rep a few weeks ago about the empty sanitizer fluid containers. No reply yet, so I'll keep following up.

We got two bids in under 20k. One of them is really detailed and expedient in their bid. The one that is detailed are coming in at 9 am tomorrow. There are three parts of the project: the water damage demolition (cutting out water damaged beans, and getting subfloor uniform), put 5/8 inch plywood and then there are two options for on top (vinyl sheeting or tile). I think vinyl is the best option but we don't have costs. Ruth was here in 2016 when they did it last time. I may tear out the studs on the door and I would suggest getting two new couches. It will entail getting all of the stuff out the kitchen. It will be out 3 weeks or a month. The house did crock pot dinners and bread. We can have our fridges and freezers in the living room. There will probably be 2 times where the kitchen will be a no go. David: I haven't heard anything about the structural integrity. Owen: I would be interested if there was historic contract assessments. There is a combo of two things that are causing the house to fall: the visible rotting timbers. there is some of the beam that is compressing because its rotting. The guy we are having tomorrow will have a foundation specialist. If we have concerns like will it keep sinking, thats something we can ask the guy. I am assuming they wont raise the concrete up but rip out a 4-5 foot hole. Jessi: I was going to ask for an ETA. Owen: I'll talk to them tomorrow. David: the sooner the better but is there a no-go. Ruth: it really sucks when its in the winter because we have to do dishes outside. We have raised the fondation twice but re done the kitchen once.

bailey: we have had a lot of people email but people are getting sick. we have had a bunch of people with kids apply and it could be fun for owen to have a buddy. I am going to continue advertising - Mae's room is open and I'll put a sign up sheet tonight. Ruth will be out at the end of the month so her room with be open January 6th. Ruth: I was thinking of paying another month of rent and paying people to do my labor.

I worked with justin to figure out some of what I need to do. I wrote out fay's deposit return and just need to wait for justin to sign it. David was there any update on me signing with the bank. David: I talked with corey yesterday with how that worked. I'll see if i can pull that off tomorrow but if not soon. i think just you and corey can go in and corey has a car. You just need to go to the frost bank.

**Operations Manager: ** I think I have communicated a lot of the stuff. Here its been kitchen stuff and mae's move out. Lots of folks out here helping and mae's family making it a smooth transition. La reunion stuff continues to take a lot of my priority and focus. There is an issue with permits but we are getting through it. I talked with Daniel miller from college houses is this idea of collaborating with college houses to hire a maitenence person so we would not have to rely on a bunch of contractors. I've got some folks working at la reunion and an idea of some folks. I have reached out to matthias to see if he would do some work. Finding good contracters to do good work at a good price. There is a plumber at la reunion that i will have come to here. Anything that we can do to be welcoming will help. I have seen how good relationships with contracters have helped. If yall know of any good contractors, let me or owen know (especially carpenters) so we don't feel overly reliant on them. feel free to talk about this after the meeting. owen: we are grateful for all the vetting your doing of finding good contractors. how much does this maitenence job pay? David: this is in the idea stage

(ruth) Alumni extended guest policy
Ruth: this is a self serving agenda item. I am working remotely for where i work currently. I will be coming back every other month for 3-5 days and I would like to stay here when I am here. Our guest policy is to stay 3 days. I will be needing to stay 3-7 days. The absolute max would be 7 days. I am proposing this not just be for me but this could be for all people that live here. I would give the house at least 2 weeks notice and I would try to do way more than that. The policy i am proposing that anyone that has lived here that they say "hey house can i stay here" with at least 2 weeks notice and say yes or no. I think you all understand what i am trying to accomplish.
Eevee: I feel like we don't need to do anything. If I gave you my guest passes
Ruth: currently its the guest not the hoster. if people who used to live here, can stay up to 7. is there anyway we could just add that as an extension to the guest policy. 3 days and if former resident 7 days
Rowan: personally, i am more inclined to say just ruth instead of all former members.
David: we could put alumni in good standing
Rowan: we should select the people we want for the 7 days
Ruth: I think if we just added on "former members have to ask to stay 7 days" and its put on the agenda.
Owen: this is a special concession being asked for by ruth so i think we just pre approve ruth
ruth: i thoguht about that too but i want there to be a way for people in the future to say hey this isnt working for us.
eevee: what if it had to be a unamamous decision
david m: i like what rowan was saying about not making it a blanket thing. i like what ruth is saying. voting on it everytime so we could approve ruth to enroll in this program so we could bring it up at another meeting.
Ruth: one possibility: i propose that the house make an exception for me and I can stay up for 7 days at a time. another possibility: another policy oriented thing. another possibility: it would just be me
rowan: i feel not weird about it being about you
Ruth: i would like for my employment to continue for a long time and I was thinking about doing a certain amount of labor
rowan: i would like to propose for length: we will revisit this in 1 year, 2 years. I would propose ruth picks up a cook shift or dish shift.
David: i think a year sounds good. maybe some dinner shifts or continued help

(Jessi) Discuss mae's deposit return - waive contract break fee -prorate dec 25 rent per our policy: security deposit and prorated rent won't be retunred until the room has been cleaned and inspected
Jessi: this is to authorize eevee to prorate it through today - mae's contract ends dec 7. i want to set a precedent that this is an accomadation for them for leaving for hospice. i think this is reasonable to waive a $100 contract break fee and have mae's rent prorated december - december 7th.
Rowan: i am super in favor of the hospice thing but since this wasn't part of the agenda item. as far as the mae thing, definetely. I agree.

Ruth: when i am moving, i am going to have a pod. i am wanting to consult you all to see if your okay with me doing that and what the best time is. I am leaving here on the 23rd and coming back the 30th. I would like the pod to be dropped off on the 31st and the pod would be picked up dec 6th or 7th.
David: you could talk to mary about putting the pod where starr's old car used to be
Ruth: i dont know if they would do that. i was thinking the parking lot in front of the art shed. I am putting it on the agenda for next week for the house to talk about it.
