Owen: David M put in some boundaries for his role so he will officially respond to requests Mondays and Thursdays. One thing I volunteered for was to be point on emergencies and maintenance stuff here at Sasona. Anything I do I report to him.

Mae: Owen and I are sharing interim grounds coordinator. I wrote a business email to everyone.

Hello Sasonies,

Here's what I've been up to in the interim period between me officially stepping down as Grounds Coordinator and Owen O'Keefe taking over as Coordinator. Owen has already been doing daily Grounds duties and he and I have been discussing longer-term projects/problems and duties.

1) I put together a list of possible Labor Holiday tasks for Grounds and asked Owen to add to that if he thinks of something.

2) We walked the property in the back to check out possible tree limbs that need to come down, and he easily pulled 2 large ones that were dead and came down without a fight. He also found a Poison Ivy sign that I had thought disappeared

3) As you all know, the kitchen is the House's first priority at this moment, and that's where Owen's main focus is, since he is also stepping in as Maintenance Coordinator since Shane stepped down. To his credit he is keeping up with watering everything that is out front and on the side of the DS walkway and down to the Art Shed.

4) In addition to the dead tree limb item, we discussed our compost - whether to move it to the veg garden or keep it and put new food scraps in the new one once it's set up. Owen suggested leaving the one in the back there for now to let it become fertilizer, which is what we have been doing. But I told him that I think it would be great for members to not to have to go 2 places to deliver the compost, especially at night. Once we have a new compost structure at the veg garden area, then we can stop delivering anything to the one in back.

5) In the recent past, I think I spoke to our Steward about making the Grounds crew be assigned tasks on a weekly basis rather than letting them wait for 4 weeks to complete their work. It's my feeling as a Coordinator for Grounds that the Coordinator needs weekly assistance with tasks and it would make sense, imo, to be able to assign the crew members those tasks. When Rachel was the Coordinator, she assigned me watering a large section of the front on a daily basis, and that's what I did for most of my time with her.

6) Next up is planning a fall veg garden, and to that end I have passed onto Owen the A&M planting guide and we'll confer over that.

That's all I can think of right now, so wishing everyone a happy and healthy Sunday and beyond.

In solidarity, Mae
Owen: the maintenance thing takes all my extra bandwidth, but I take about half an hour a day to water the plants. eventually I'll coordinate better but we'll do planning soon. that's really what I want to do is tap into the brain trust as to what to plant, etc
Kitchen Kaiser:

Ruth: I'm not sure why I'm still getting any credit for it so. Mae: what's up with the door that swings open? Ruth: Fay was doing that, but in my experience they don't get any benefit from it Mae: could we fix it ourselves? Ruth: we could and it would take some figuring out. Owen: what's the nature of the difficulty? Ruth: i'm not here and Fay was here more but then she said it wasn't really working for her. I'm just not physically present to take things on.

Owen: I'm tracking 5 separate issues with threads in Slack. I spoke to Maggie at NP and they said that it's a big issue that needs done ASAP. the fan near the laundry room is working. the fan by the fish tank will hopefully get done tomorrow. Room 13 is fixed and moved into already, thanks David Q. The kitchen backed up for the 3rd time. if anyone needs to know how to break it up, talk to me, Eevee, Ruth, or Vic about how to break it up. I'm going to call the people coming tomorrow. The dryer stopped heating and there's a heat override breaker in there that shut the gas off. I was able to figure out how to fix it. Some other little things that are coming up, i'll put those on labor holidays.

Hey folks- Eevee has signed a contract and moved into Room 9. Kaycie no longer lives at Sasona, but is now an Associate Member! Alice has moved into Room 2 (Seb's room), and Rowan has swapped into Room 1 (Kaycie's old room).

I have not yet sent out Room 3 to prospective members. Since the timeline on Room 13 move in date has been in flux, I do not have a solidified move in date for Room 3. Justin is planning on moving into Room 13 sometime this week, when the room is finished. I will send out his current room, Room 3 to our waitlist when I know an exact move in date. Thanks David Q and Big O for doing lots of extra work to ensure the room is ready and comfortable, and Justin for being flexible with the wibbly wobbly timeline of his room swap/s.

Hello Sasona,

I'm not sure I'll be able to make it to the meeting tonight, so I'm emailing my report.

If someone can do minutes tonight, that would be great! You can get labor credit for it on next week's schedule, and if you need a computer, I can make sure mine can be made available. Thanks bunches!

This week I:

–Started our Community Agreements in Practice 2.0 email series. –Rewrote the draft to the Minutes Taker to include our new process of how to take minutes on the new wiki. Hopefully I'll be able to make the meeting so we can discuss it tonight. –Spoke to Bailey Star about members moving out. –Messaged Rowan regarding posting new nomination forms for Maintenance Coordinator (Shane is stepping down), CHEA Rep, and Treasurer. –Monitored the responses from the proposed dates for Fall Labor Holiday. Please submit your availability to the survey here. I've only gotten 5 responses (see below). –Emailed Olivia as Mastodon Overblower about ensuring we get our new members on our Business List, and cleaning off the old members from our list. I originally sent an email regarding this on September 8th but have not received any communication, nor does it appear to be done. I've spoken to some people in our organization and there's a suggestion that we should eliminate officerships that are not performing or conduct an Officer Review so that we can get someone into non-performing officerships that will conduct themselves in alignment with their officer job description. To ensure my communications have been received, I've posted a copy of my email to Olivia's door. Please let me know your thoughts on this matter–we shouldn't allow officers to not be accountable but have historically not been the best at doing this. More to come on this soon. –Spoke to Shane regarding his cats. Printed off our current pet policy so he could ensure he follows it before bringing his cats over here. –Talked with Owen a little bit about random maintenance things throughout the week. We need to get together soon to discuss all his projects, so more to come soon!

Thank you all for living this beautiful life together! I'm so excited for where we're going and for how we're creating our best life together. If I can be of service, please let me know!

In cooperation, Jessi

Agenda Item 2

(Jessi) Should we give Owen access to our Maintenance Account?
Jessi:
Ruth: I think it's true, and I think we should be explicit to what we're saying yes to vs not. The Maintenance Coordinator can appoint. In the future when none of us live here anymore, … The maintenance coordinator …
Ruth: The house can appoint someone to have access to the maintenance account by vote.
Mae: is Matthias still treasurer. Yes. suppose Owen needs to buy…
David: Alex may be the reference.
Owen: i'm sure there's some checks and balances, I'd post the recipt like food shoppers do so there's a check there.
Jessi: I motion that we allow Owen O'Keefe access to the maintenance Google account, maintenance card, and set of keys.
Vic: Second
Ruth: I wanted for it to be bigger.
David: I concur
Mae: when Matthias was maintenance, he pulled in Spade and made a great team, I was wondering if that was going to happen again. maintenance seems to do well.
Ruth: I mean the motion itself since this could happen again
Owen: what we could do is in the motion is say that the house, in appointing an interim officer, until completed election…
Jessi: I motion that the house, in appointing an interim officer, until completed election, that we allow Owen O'Keefe access to the Maintenance Google account, Maintenance card, and set of keys.

(Kaycie (Ruth)) Reminder: Avoid Putting Grease Down the Drain

Ruth: big and small amounts of grease should be put in the trash can or somewhere other than the sink. you can wash the bin with a rag, you can use a paper towel or paper to wipe the grease out. we're trying to avoid having this happen as much as possible. I put the strainers back in the sinks to remind people to be mindful what goes down the drain.
Mae: on the windowsill between that say “oil” what happens with those?
Ruth: the grease trap people come, they say they don't see too much, but the plumber says that it's not true.
Mae: there must be a huge blockage of grease.
David: we can recycle in our oil. you can take a cheesecloth and reuse those for cooking.
Ruth: I'm talking bout removing the oil before doing your dish. this is for a right now not all the time
