(Jessi) Fall Ball and Labor Holiday Dates
Jessi: I liked that Labor Holiday was right before Fall Ball.
Matthias: Nasco institute is around that time...Nov 14-16 is NASCO Institute.
Matthias: the 8th might be a good day. maybe the fall ball can be planned on Nasco weekend to pay homage.
Jessi: Nov 1st should be our Fall Labor Holiday.
Caleb: I know like proceedurally it would make more sense to do a straw pull on Slack or something
David: I think it's a temp check on slack is a good idea.

(Matthias) Deposit Returns: Spade & Matthias
Matthias: I can't write myself a check since I'm the Treasurer, so I was hoping Justin would be around. I broke my lease so that's $100 off my deposit. Then I had a pet deposit, which $50 was withheld and I should get $50 back, so total I should receive $450 back. I'm letting everyone know that I'll have Justin write me a check--I just wanted everyone to know
Star: That doesn't sound right
Matthias: I paid $500 deposit. Take $100 off for the contract break.
Jessi: I motion to approve Justin to write Matthias a single check for $450 for his security and pet deposit return.

Matthias: I know Spade is ready to receive her deposit return. This is more complicated. There's feedback on I can give on the pathway steps and her pet deposit. I went back in her account to 2016 and there were some $100 and $150 deposits but no notation given. basically she'd get $50 back for each of her cats. Let's say she gave $100 deposit for her cat before. She did not pay $200 pet deposit for her more recent cats. But since she didn't get her deposit back from before and she didn't give her deposit this time, the pet deposit is a wash. What we do need to talk about is the other things. I just need to ensure we get her deposit back asap

Matthias: I need the house to decide about whether she owes further fines. She's got $100 in labor fines and there was a discussion about the damage to the dark side.
Jessi:
Matthias: that space was under maintenance's list of things to figure out and solve, and had been for a long time because of the water damage from the roof. spade had gotten a hold of some stones and had decided to do the project on her own. on working on the project, the concrete end cap was already broken and had gotten more loose and I told her I would help her replace it. I had done some work on it but wasn't getting much in response regarding finishing the project. I was under the assumption that he was doing it voluntarily just to get it done, but not under maintenance. it did take longer than it should have but now it's done. if there's any fines I don't think she should pay those fines.
Star: also to clarify she did incur the $100 contract break fee as well.
David: it's been said within the conversation that there was an agreement that you would finish what she had started.
Matthias: initially it was we were going to take it on together but that wasn't happening so I said i'd make sure it gets done. I bought the concrete and rebar and when I talked to Shane he told me more of what we needed and was able to finish it
David: everything you bought was used? using maintenance?
Matthias: I was using the maintenance card because maintenance wasn't being responsive. I thought I made it clear to Shane that it would be voluntarily. I don't think anyone should be charged for it, but if it is I would pay for it.
David: I appreciate that but we might just end up with nice people paying for other's mistakes.
Matthias: I was able to make sure it was getting handled by maintenance.
Jessi:
Ruth: It was a problem for a while. it was an undone project for a while. unfinished projects when people move out is something that happens. i'm not opposed to setting a precedent for finishing projects when people move out. financially people haven't been penalized for unfinished projects
Matthias: this would have been a better resolution a month and a half ago. I think it got resolved. it got done. it needed to get done. the house is in better shape because of it. there's a lot of projects in this house that need done but never get done.
Matthias: I just need to know what the house thinks. it looks like $100 for labor fines and $100 for lease break.
Jessi:
David: I like to be as little rules as possible to be as simple as possible. that's a reason to set something up. everything that we do is taken out of something else. shane doing that labor covers our system. there are certain parts of our system that don't cover how we take care of things. it was a while before this was taken care of and our first instinct was for people to jump in and help. I think these are questions that need to be solved. I think we should set an expectation.
Ruth: we've decided in the past that we can't give people money for things.
David: that's my understanding too that we can't charge the house for doing these things. these things haven't been covered. there seems to be an issue with people wanting to charge the house for certain things. we need to make people understand that's not how we do things
Matthias: I move to vote on returning $300 out of $500 for Bailey Martel's security deposit. We are keeping $100 for a contract break fee and $100 for labor fines.

Matthias: we buy from the house funds (main account) it probably should go under a budget item. the purpose of the film is to be able to take pics that can go on the fridge primarily. there's other pics that get taken, as well, and i'm not sure what controls there are there.

Star: Kaycie gave me lots of notice of moving out of her room and her room has been filled. I'd like to give her full deposit back, and in order to do that we'd have to change her contract end date. And she's interested in becoming an associate so can we use her deposit to cover her associate fee?
Matthias: we can't take it out of her deposit because it makes the accounting side complicated. we're ending one contract and starting a new contract, so we should start a whole new line.
